Executive/Legal Assistant

DUTIES AND RESPONSIBILITIES:

  • Handle all Dictaphone typing and transcription;
  • Draft and finalize all letters, pleading and legal documents;
  • Calendar both case related and company meetings for the managing partner. Review calendar daily and prepare Partner for any upcoming court appearances or meetings at least a day prior to attendance;
  • Review managing partner’s incoming mail & faxes and handle accordingly;
  • Prepare monthly expense spreadsheets for Managing Partner and accounting;
  • Handle all client and potential client contact for the managing partner by telephone and/or email – drafting such and finalizing for his review;
  • Daily completion of timesheets into office systems and complete all edits and revisions; assist Managing Partner by reviewing his daily schedule, emails and phone conversations;
  • Interact with other Partners, Attorneys, Opposing Counsel, Clients, etc. in a manner that is both efficient and pleasant;
  • Coordinate all telephone conferences (incoming & outgoing) required by the Managing Partner to include set up and notification to all parties participating;
  • Coordinate all travel requirement for the managing partner with clients or set up any needed travel requirements as required;

REQUIRED SKILLS:

  • Must have knowledge of all State, Federal and Appellate court procedures to insure that Managing Partners court documents are properly filed on a timely basis;
  • Knowledge and skills for the use of the computer and internet to fulfill all technical requirements needed by managing partner; Knowledge of TrialWorks Case System would be beneficial, however, individual should be able to learn and master program to ensure that all documentation completed is properly labeled, filed and set up in its proper categories within the office filing

  • Knowledge of Zoom and Teams meetings;

BENEFICIAL SKILLS:

  • Maintain a professional appearance – by way of telephone and in person – to present an image of the firm and managing partner at all times for the purposes of excellent customer relations;
  • Be a highly organized individual, able to multi-task in order to complete all

Legal Administrative Assistant

Mase Seitz Briggs, P.A. is a growing mid-sized personal injury law firm in the Coconut Grove with offices right across the street from Biscayne Bay. The firm has been in business for more than 20 years. The firm is looking for a Legal Administrative Assistant with more than 3 years’ litigation secretarial and/or administrative experience. You will assist a couple of attorneys and work with other Legal Administrative Assistants and Paralegals. You will qualify for a $500 signing bonus after you are with the firm 90 days.

DUTIES AND RESPONSIBILITIES:

  • Electronic filing and service of documents in state and federal court
  • Calendaring
  • Litigation and administrative support
  • Coordinate scheduling of hearings, depositions and mediations
  • Draft, prepare and distribute legal correspondence and memos under management direction
  • Coordinating travel for depositions and trials

REQUIRED SKILLS:

  • Strong computer skills with proficiency in Microsoft Word and Outlook Calendar
  • Professional written and verbal communications
  • Strong organizational skills
  • Able to transcribe dictation

BENEFICIAL SKILLS:

  • Bilingual (English and Spanish)
  • Experience with Trial Works
  • Experience with Zoom
  • Experience with Dropbox and other file sharing programs
